Job Summary
Knowledge, Skills and Abilities

Knowledge of personnel and payroll systems. Knowledge of computers and spreadsheets. Knowledge of Microsoft Office. Knowledge of TBR guidelines and policies. Knowledge of the academic and administrative structure of an institution of higher education. Ability to interact with a variety of people. Ability to communicate effectively. Ability to plan, develop, coordinate, direct and evaluate office procedures. Ability to conceptualize, solve problems and make decisions and accept responsibility. Ability to meet deadlines and work effectively under pressure. Ability to apply skills in accomplishing goals and objectives. Ability to maintain confidentiality and professionalism with all associated duties.

Required Qualifications

Associate’s Degree; Bachelor’s Degree preferred. Minimum five years secretarial experience.

Job Duties

These are the job duties required of the position.

Description of Job Duty

Maintains responsibility for the financial management of the Division of University Relations accounts.

Answers telephones.

Oversees travel arrangements and travel requests.

Processes claims, requisitions, budget revisions, and other forms.

Verifies and enters time reports for semi-monthly and monthly payroll on TRS.

Assists with hiring and training of student workers.

Ensures office equipment is working properly and coordinates maintenance as needed.

Maintains a log of news releases.

Performs updates to office web pages.

Coordinates the distribution of tickets provided by the Division of University Relations to select athletic events.

Serves as the primary support staff to the Executive Assistant to the President and provides support to the Associate Director, Video Services Manager, and other staff members in University Relations.

Processes open records requests and ensures policies are followed according to the Tennessee Open Records Law, and reviews all records prior to release to the requestor.

Manages all personnel records and time reports as well as general and confidential files.
