Job Summary
Knowledge, Skills and Abilities

Ability to work effectively with various constituencies (faculty, students, library employees, vendors, etc. Skill in applying accounting procedures to library needs. Skill in troubleshooting and maintenance of copy/ printing systems. Skill in data mining and analysis. Skill in using computer applications, including spreadsheets, terminal applications (e.g. FRS SIS, HRS, TRS) internal data systems ( Voyager, time-keeping applications) and Microsoft Office applications. Skill in evaluating student employment applicants’ personalities/ skills/ abilities and placing them in appropriate positions. Knowledge of University policies, practices and procedures.

Job Duties

These are the job duties required of the position.

Description of Job Duty

Daily cash deposit: prepare daily library cash register deposit and deliver to the Business Office in accordance with University financial procedures.

Monitor all cash deposits records and receipts for audit.

Review monthly budget reports accuracy and reconcile discrepancies as required.

Maintain annual statistics of library revenue.

Budget management and analysis: monitor the budget for the copy machine/ print stations/ microforms for expenditures and revenue.

Analyze and compare annual statistics of copy volume and make recommendations to Dean for copy machine requirements.

Monitor student budgets of four work programs to maintain maximum utilization of resources for library schedule of open hours.

Prepare any budget transfer documentation to maintain balanced budgets.

Copy machines/ Printers Management: verify and approve invoices for copy machines in Sherrod Library, KUC Library and public copiers in COM Library.

Make daily revenue collection of copy machines, printers, microforms for inclusion in cash deposit procedure.

Troubleshoot and provide technical support for copy machines, copy card readers, and card vending towers.

Serve as the primary key operator/ liaison with vendor service technicians for seven public copiers and three office copiers.

Serve as technical support to the COM Library and Kingsport Center Library staff for their copy machines and peripheral equipment.

Submit monthly copier readings to vendor for billing purposes.

Maintain copy paper and toner supplies.

Issues copy cards to ETSU departments and report charges to Comptroller’s Office.

Compile statistics on copier/ printing/ microforms usage.

Time Keeping reports: responsible for submitting monthly time reports online for approximately 40 professional and classified staff and twice a month for approximately 70 student assistants and temporary staff.

Certify work and leave accuracy.

Notify Human Resources and Financial Aid Offices of discrepancies and adjustments.

Prepare and distribute monthly individual time reports.

Verify information from payroll leave register for library staff.

Distribute pay checks to all library employees.

Sherrod Library Student Assistance Program: Coordinate the placement of 80-100 student assistants.

Confer regularly with library department heads regarding student work schedules and qualifications of applicants.

Recruit, interview, and place all student workers who meet requirements.

Maintain work records of all student assistants, verify their employment dates and prepare letters of reference upon request.

Serve as information liaison between students, department heads, and the Financial Aid Office of the University.

Issues keys to library staff and to university faculty and graduate students for study rooms according to policy using library Voyager system.
