Job Summary
Knowledge, Skills and Abilities
  • Knowledge of database and word processing software and desktop publishing.
  • Knowledge of personal computers, printers, VAX terminals, and signature system machine.
  • Strong organizational and management skills.
Required Qualifications

High school diploma or GED required; two-four years experience, Certified Professional Secretary (CPS) preferred

Job Duties

These are the job duties required of the position.

Description of Job Duty
  • Processes reply cards by inputting data from reply card on the Student Information System (SIS); downloading and converting the file from the SIS to word processing where it is formatted into a letter and mailing list; producing a personalized letter to each student; producing mailing labels; processing the student’s request for materials; separating those students who want additional information; counting and categorizing the reply cars for statistical report; shredding the cards.
  • Generates and distributes follow-up recruitment lists to departments.
  • Serves as backup in the absence of clerk/typist which involves receipting application fees, balancing the cash register, making deposits and filing report with the Comptroller’s Office.
  • Verifies information for accuracy and completeness before recruitment information is mailed.
  • Collates, compiles and calculates data from database applications for reports, labels, and mailing.
  • Maintains the filing system for reply cards.
  • Maintains and updates various computer applications, especially database and desktop publishing.
  • Composes and maintains routine forms, newsletters, handbooks, etc. using desktop publishing application.
  • Supervises student workers, and special projects.
  • Assists other faculty members or staff when needed.
  • Downloads and uploads files using the VAX system.
  • Transmits files electronically to various colleges/departments on campus on a regular basis.
  • Processes undergraduate catalog mailings from mail request and reply cards at the University Post Office.
  • Compiles statistical information regarding reply cards, catalogs, campus tours, and mailing list.
  • Maintains inventory of supplies used in recruitment area.
  • Operates Dell PC, IBM PS2 386, DEC terminal, signature system (used for signing the president’s name on recruitment documents).
