Job Summary

Secretary to Department Chair providing assistance in clerical areas of maintaining a complex department and assists faculty (full-time, part-time, cohorts), administration, staff, distance site personnel and students. Coordinates and maintains Banner course scheduling for department. Initiates hiring procedures following university guidelines using online system and preparing contracts. Maintains timekeeping for department employees. Monitors department budgets and maintains record keeping. Assists in providing information for comprehensive reports. Receives and directs visitors assisting with problem solving. Transcribes minutes of meetings. Serves as liaison for Chair for internal and external contacts.

Knowledge, Skills and Abilities
  • People, listening, computer, and word processing skills required. * Must be able to function independently and respond in a timely manner to provide assistance. * Multi-tasking skills are required.
Required Qualifications

High School Diploma or GED plus three (3) years secretarial office experience, or an equivalent of education and experience.

Description of Job Duty
  • Serves as secretary to the Chair.
  • Serves as liaison for chair and for internal and external contacts.
  • Follow-up with others on projects assigned by the chair.
  • Drafts non-routine correspondence and memos for the chair.
  • Maintains chairs calendar and schedule.
  • Supervises daily financial matters.
  • Researches policies, procedures and guidelines for the chair.
  • Develops and maintains department filing system.
  • Maintains personnel, financial, statistical and other important records.
  • Monitors and maintains inventory of supplies and other materials, initiates ordering process as necessary.
  • Completes hiring contracts.
  • Inputing course schedules
  • Maintain time sheets for Faculty and Staff.
  • Mastering the university data systems such as Banner, eJobs, etc.
