Job Duties

These are the job duties required of the position.

Description of Job Duty

Coordinates course schedule for the entire College of Nursing which involves three academic departments; once initial schedule is determined, forwards to Chairs for input; builds all aspects of schedule for entire College of Nursing in Banner with notes, classroom, faculty, etc.

Assists in determining what days/times are best for course scheduling; currently the only staff person in CON that knows INB Banner.

Keeps minutes for MSN Graduate Program Faculty meetings.

Enters clinical information into multi-organizational scheduling program for placement of BSN students across the region.

Schedules College of Nursing classrooms, meeting rooms and presentation space for committees, task forces, orientations, student groups and other university employees in Nicks Hall in regard to available space throughout the semester.

Reconciles office pro-card charges; processes departmental requisitions for office supplies, contracts, equipment, and other expenditures with eBucs for 3 accounts.

Serves as liaison between Chair, faculty, and university offices.

Processes travel forms for chair; monitor faculty travel.

Prepares Graduate Assistant/Tuition Scholarship contracts.

Prepares adjunct faculty contracts for fall, spring, and summer.

Composes correspondence for Chair and faculty.

Prepares letters and packages for mailing; coordinates with Central Receiving.

Answers and routes incoming phone calls and refers to appropriate person.

Coordinates and schedules committee meetings, maintain minutes for department meetings.

Supervises 2 APS, 1 FWS and 1 RWS students.

Prepares compilation of department annual report from faculty FAR/FAE’s.

Ensures and documents that faculty have current nursing licenses for practice in the state of Tennessee, and have clinical agency immunization requirements, CPR currency and OSHA update.

Responsible for time reports for departmental faculty/student workers/GA’s with verification that time marked is correct.

Oversees coverage of departmental office during vacation and/or other leave schedules.

Facilitates textbook orders.

Authorizes signature for drop/add cards, blue cards, etc. (approximately 300 blue cards processed for Fall 2008).

Permits students into clinicals and courses as instructed.

Assists students and Student Services regarding questions about college courses, schedules, etc.

Orients and coordinates new faculty so that they are orientated to the college and university regarding policies and procedures, benefits, etc.

Maintains office filing for travel, personnel, budget, etc.

Upkeeps fax machine in office.

Arranges beepers for faculty.

Arranges auditron/copy access for faculty.

Orders departmental supplies.

Oversees Cross-Disciplinary Studies travel blanket and updates.

Coordinates and disseminate SAI packets.

Assists faculty with all course and university needs; anywhere from course preparation to correct syllabi information, moving desks, equipment, ect.

Serves as liaison with new faculty and HR; assists faculty with university and college policies and procedures.

Directs workflow to faculty secretaries within CON.

Collects and gathers data for student information for 3 courses plus sections to the Veteran’s Affairs Medical Center.

Coordinates space with Culp Center and other university departments.

Champion for employee giving campaign.

Serves on university committees as requested; e.g. textbook orders.

Obtains desk copies for faculty from publishing representative.
