Job Summary

Provide administrative secretarial support to the Dean of the College of Arts & Sciences. Essential functions: Assist in coordinating the flow of work through the College office, including letters, memos and forms, drafting responses where appropriate; communicate with department chairs, office staff, and the vice president’s office staff to assist in problem solving; screen contacts and refer them to others as appropriate; assist in coordinating College meetings; maintain Dean’s calendar and make appointments; assist with travel arrangements and help in coordinating events planned by the dean; maintain filing system, collect information and assist in preparing reports; help monitor personnel and financial matters in the College, including faculty tenure and promotion, summer school management system and other documents of a confidential nature; maintain inventory of office supplies; supervise student workers; assist associate deans and office coordinator as needed; and other duties as assigned.

Knowledge, Skills and Abilities

Ability to develop a strong working relationship with the Dean. Ability to research and analyze data and prepare reports. Ability to work effectively with a diverse range of individuals, academic departments and university offices. Ability to communicate effectively both orally and in writing with a diverse range of individuals. Ability to manage electronic databases and websites. Ability to work both independently or collaboratively as the situations dictates. Ability to manage, organize, and prioritize multiple tasks required for own work and work of others. Knowledge of office practices, procedures, and equipment. Knowledge of standard Office software. Knowledge of university structure and academic programs.

Required Qualifications

Associate’s degree plus three years secretarial office experience or Bachelor’s degree and at least one year secretarial office experience required.

Job Duties

These are the job duties required of the position.

Description of Job Duty

-Drafts routine and non-routine correspondence and memos for the Dean’s signature; uses word processing and graphics software to format and generate a variety of complex materials including correspondence, memos, reports and presentation.

-Maintains Dean’s calendar and schedule; makes appointments and travel arrangements; plans and arranges meetings and special events by ensuring that any necessary rental/reservation and catering arrangements are made.

-Receives, directs and assists visitors and incoming telephone calls; provides procedural information; assists in solving problems for students, faculty, staff and the public.

-Screens visitors and telephone calls. Communicates on behalf of the Dean with chairs, executive aides and faculty in 18 departments in the College of Arts and Sciences, and with personnel in other colleges and university offices.

-Distributes certificates for students on the Dean’s List each semester.

-Manages electronic databases and websites.

-Manages curricular, catalog and other changes, and updates department and college websites.

-Manages the Promotion and Tenure System at the college level.

-Enters information in the Academic Tracking System.

-Manages the Faculty Teaching Credentials System on behalf of the Dean.

-Approves contracts on behalf of the Dean in the Graduate Contracts System.

-Approves contracts on behalf of the Dean in the Summer/Winter Session Contracts System.

-Accesses information in Banner, ePrint, and other systems.

-Hires and supervises student workers. Ensures that student worker tasks are assigned and completed.

-Evaluates performance of student workers. Monitors hours worked and budget for student workers.

-Provides support for staff and students. Assists Center for Advisement and Student Excellence staff with orientations by distributing orientation lists to college departments, printing students’ schedules, confirming faculty advisor attendance, and providing other assistance as needed.

-Serves as college representative for Financial Aid for APS and FWS allotments for college departments; works with the Dean to allocate FWS and APS positions to units within the college.

-Provides first contact for new and non-returning students and helps solve registration problems.

-Provides support for the Director Development in the College of Arts and Sciences.
