Job Summary
Knowledge, Skills and Abilities
  • Knowledge and skills in use of computer software such as word processing, spreadsheets, ETSU electronic course management system (currently D2L).
  • Ability to develop records system to manage course materials.
  • Ability to develop and maintain systems that ensure Confidentiality of student records.
  • Skills in developing/maintaining schedules of important milestones for each course.
  • Ability to learn evolving software programs used in medical school teaching (e.g., ipads and apps used in courses).
  • Knowledge and skills needed to create and update departmental website.
  • Ability to organize and record departmental course meetings.
  • Ability to perform under pressure of fast moving environment.
  • Knowledge of TBR, ETSU, and College of Medicine Student Governance.
  • Knowledge of ETSU timekeeping/payroll systems.
  • Ability to problem solve and make decisions as well as to accept responsibility.
  • Skills in effectively communicating with diverse populations.
Required Qualifications

High school diploma or equivalent; must have a generalized knowledge of computers; three years secretarial experience; knowledge of word processing and spreadsheet software, University D2L, work well under deadlines and pressure, pay attention to detail.

Job Duties

These are the job duties required of the position.

Description of Job Duty
  • Maintains responsibility for management and oversight of course material for six departmental courses plus electives in support of College of Medicine Course Directors.
  • Coordinates the electronic course management system; sets up and maintains course sites for each course; enrolls students; posts handouts; develops presentations; and, transfers radiographic images, movies, videos, and posting announcements.
  • Oversees and schedules meetings with students as needed.
  • Schedules faculty in courses.
  • Posts grades internally and in ETSU information system.
  • Serves as liaison with students, faculty, and course director.
  • Maintains iPads used in Departmental Courses, updates applications, and checks out iPads to fourth year electives.
  • Prepares written and practical exams to be given manually or through on-line course management system.
  • Transfers pictures of practical exam questions given in Human Body laboratory to presentations to be given in class by faculty.
  • Compiles data regarding student grades when needed by faculty.
  • Prepares orientation materials for each course.
  • Distributes keys and identification tags, and assigns lockers to students.
  • Transfers course work to compact discs to be distributed to students.
  • Scans images for course materials and incorporates them into teaching materials and presentations.
  • Prepares formulas for use in spreadsheets to record and maintain the grade scores of each student enrolled, averages grades, and merges grades with software to distribute confidential grade sheets to students.
  • Prepares, copies, and binds laboratory manuals for courses.
  • Maintains files for all courses.
  • Sets up and organizes meetings for course directors and faculty, and keeps minutes of the meetings.
  • Schedules and maintains correspondence with guest lectures.
  • Prepares composite of pictures of Physical Therapy students taught by College of Medicine faculty.
  • Distributes confidential material to students in locked boxes.
  • Coordinates student assessment process.
  • Prepares materials for courses outside the university taught by the Human Body course director.
  • Serves as webmaster for comprehensive DBMS Website, including: soliciting updates from faculty, researchers, and committees for publication and entering approved updates/amendments on the website. Responsible for monitoring the website for current status and accuracy.
