Job Summary

Perform information research in support CME educational activities. Serve as liaison for all speakers/faculty and manage all processes related to ACCME required speaker information. Interact with healthcare professionals and support staff to obtain all required information in a timely manner. Review speaker presentations in support of the CME Program Coordinators to ensure compliance with ACCME, AMA, ANCC, ACPE, and HIPAA rules and regulations.
Generate correspondence, information packets, and required forms to send to speakers/faculty. Monitor and track return of required information from speakers, faculty, and activity directors in accordance with accreditation requirements and office policies. Review forms and other information received from speakers/faculty/activity directors/planning committee members and appropriately file or route to CME Program Coordinator and/or Associate Dean for review or action. Manage the creation, implementation, and collection of participant evaluations for every CME event. Create evaluation summary reports for CME planners, activity directors, speakers/faculty, and Associate Dean; create correspondence for the Associate Dean in connection with the evaluation reports and route appropriately. Create and maintain document and forms templates in accordance with ACCME requirements and CME office policies; maintain files of all templates used in the past for ACCME reaccreditation purposes. Create reports for the Associate Dean and other CME staff by extracting data from various databases in specific and sometimes multiple formats as needed for analysis and file close-out of activities. Manage all aspects of the development, creation, and distribution of the monthly CME calendar. Maintain up-to-date lists of CME activities, contact persons for each, and email addresses. Manage a wide range of communications about various CME requirements and deadlines; creating strong and positive professional connections with our customers. Create hyperlinks to evaluation forms and distribute electronically so conference attendees can complete forms online. Keep accurate records to meet ACCME requirements. Select, train, and supervise student workers. Provide administrative support to educational planners. Assist planners and other CME staff with registrations and fee collection at major conferences and/or RSS activities as required. Occasional travel for training and/or to attend or work at CME conferences. Perform all other duties as assigned.

Knowledge:

Required Qualifications

High school diploma or equivalent supplemented by business skills certificate or courses; three years of experience in an office or customer service setting. Demonstrated proficiency using database applications to create different types of forms and reports explaining data so as to be immediately understandable.

Preferred Qualifications

Associates degree or higher strongly preferred, along with a minimum of one year of experience experience applying ACCME accreditation requirements and institutional policies and procedures to continuing medical education activities. Experience working directly with physicians and other healthcare providers.

Job Duties

These are the job duties required of the position.

Description of Job Duty

Performing information research activities in support of CME educational activities.

Attend CME-specific training sessions and conferences as required by Associate Dean to gain and maintain in-depth knowledge of ACCME and other accreditation requirements.

Create and manage all processes related to acquisition of faculty/speaker required information and documents.

Interact with physicians to obtain required information.

Review speaker presentations to ensure compliance with Office of CME policies and procedures, ACCME, HIPAA, and AMA rules and regulations.

Serves as liaison for all speakers at CME events.

Generate letters, information packets and required forms and distribute to faculty/speakers.

Monitor and track return of requested information.

Review returned speaker forms: determine if a conflict of interest exists and, if so, route to Associate Dean for resolution, collect speakers presentations/handouts, secure speaker’s curriculum vita, provide speaker’s bio information to appropriate COM department for introductions at CME event, Ascertain speaker’s permission to record and/or broadcast and notify appropriate staff, route speaker’s contract to budget specialist for processing, make lodging arrangements for speakers when required, coordinate and special AV requests, prepare thank you letters for Associate Dean’s signature following events, Provide summary feedback from evaluations to speaker and activity directors.

Manage all aspects of the evaluation piece of the CME database including building individual evaluations, managing results, and creating summary reports.

Create and maintain templates for CME forms in accordance with ACCME regulations and guidelines.

Prepare activity evaluation form, roster, and request-for-credit form for all presentaions.

Prepare conference syllabi and overall evaluation form for major conferences.

Create evaluation forms using HTML format.

Create reports for the Associate Dean, planners, speakers, and course directors by extracting information from the database in specific, and sometimes multiple, formats needed for analysis of programs.

Create summary evaluation reports for Speakers and Activity Directors.

Collect information, create, and manage distribution of the monthly calendar of ETSU CME activities.

Serve as liaison with College of Medicine departmental staff responsible for CME activities.

Create processes and alert program contacts when evaluations are due and ensure timely receipt and data entry of evaluations.

Create hyperlinks to evaluation forms and distribute electronically so conference attendees can complete forms online.

Maintain up-to-date lists of programs, contact persons, and email addresses.

Keep accurate records on server and in program binders to meet ACCME regulations and guidelines.

Provide training to student workers and temporary office staff, oversee data entry functions, and troubleshoot conflicting issues.

All other duties as assigned; job duties subject to some change at implementation of new software.
