Job Summary

Responsible to the Assistant to the President for Government Relations to perform a variety of complex secretarial, administrative and clerical tasks which may include, but are not necessarily limited to, coordinating the flow of work and people through the Government Relations office (in particularly State and Federal Legislators as well as local and regional lawmakers and leaders); drafting correspondence, reports and memos; maintaining the supervisor’s calendar as well as the University President’s legislative calendar, coordinating with other administrative offices for visits and events attended by legislators and government leaders; making travel arrangements; coordinating and planning for conferences and meetings hosted by Government Relations and the President’s Office; composing documents; collecting data to be utilized for the Office or for legislative entities that interact with Government Relations, interacting as necessary with State and U.S. Legislators and their staff members, as well state and federal departments; implementing and managing Government Relations website; purchasing supplies; compiling information for report preparation; and performing other related duties as assigned. This position will provide support to the President’s Office as required. This is an 83% position.

Required Qualifications

High School diploma or GED plus three (3) years secretarial office experience, or an equivalent combination of education and experience. Web design and maintenance as well as potentially other social media applications (FaceBook, Twitter, etc.).

Description of Job Duty

Maintain dialogue/ working relationships with federal, state, and local officials and their staff members. (Serve as liaison to address issues/ concerns directed to the university by officials on behalf of their constituents or themselves. Contact officials/ dignitaries regarding various aspects of university business/ interests, etc.)

Work to coordinate upcoming events/ meetings sponsored y Government relations or other university departments.

Establish and maintain Government Relations website.

Represent Office of Government Relations at event planning meetings, phone conferences, public/ university sponsored events, committees, etc. as needed.

Review all incoming office correspondence and prepare responses, memos, and reports, as appropriate.

Participate in development of objectives and long-range planning of the Office of Government Relations.

Participate in the process of developing legislative agendas for various university interests.

Coordinate the flow of work and people through the Office of Government Relations.

These are the job duties required of the position.

Description of Job Duty

Maintain Assistant to the President for Government Relations’ calendar, as well as assist in maintaining University President’s legislative calendar.

Responsible for travel arrangements, requisitions, claims, office supplies orders, documenting approved expenditures, work orders (maintenance/ repairs) and other duties as assigned.

Hold responsibility for Procard.

Provide needed support to the President’s office, as necessary.

Maintain office files.

Review and coordinate budget needs and reports.
