Job Summary
Knowledge, Skills and Abilities

Knowledge of Tennessee Board of Regents policies and guidelines.
Knowledge of academic and administrative structure of an institution of higher education.
Knowledge of university, medical school, and department policies and procedures.
Knowledge of health care administration and graduate/post-graduate medical education.
Knowledge of confidential and some medical terminology.
Knowledge of personnel and payroll systems.
Knowledge of proper business English.
Knowledge of computers, work processing, spreadsheets.
Ability to work with a variety of people.
Ability to communicate effectively.
Ability to conceptualize, solve problems, make decisions and accept responsibility.
Ability to meet deadlines and work effectively under pressure.
Ability to apply skills in accomplishing goals and objectives.
Ability to maintain confidentiality and professionalism with all associated duties.

Required Qualifications

High School diploma with three (3) years secretarial office experience.

Job Duties

These are the job duties required of the position.

Description of Job Duty

Manage and oversee appointments for the Dean’s calendar.

Act as backup for the Office Manager in her absence in all duties assigned to me.

Directs and coordinates personnel and payroll TRS actions necessary for efficient functioning of the department according to TBR and ETSU policy.

Maintains personnel, and other confidential and important records.

Works with other university and college administrative personnel on various administrative issues.

Reviews, interprets and understands university operating procedures and policies.

Reviews all incoming corespondence for appropriate recipient and composes and prepares a wide range of written communications directed to internal and external recipients.

Designs and prepares reports as requested by the Office Manager.

Assists in planning and managing college special events.

Oversees ordering of office supplies and equipment.

Maintains office inventory of all supplies and equipment.

Maintains office files.

Assists in training student workers.

Schedule faculty/staff recruitment efforts for other department personnel with the Dean.

Maintains faculty database.
