Job Summary

Data entry into new innovations program; coordinate resident and fellow leave and monthly entry into TRS system. Process MEAC check request; track and balance IM GME book fund, responsible for arranging recruitment and conferences for resident program; Schedule recruitment visit’s with resident candidates; clerical responsibilities for all resident/fellowship academic activities. Other duties as assigned.

Knowledge, Skills and Abilities

Excellent interpersonal skills. Proficiency in Microsoft Office Applications, excel skills should include ability to set up formulas, linking spreadsheets and making graphs. Attention to details and absolute accuracy on data entry. Excellent customer services qualities

High school diploma or equivalent. 3 years secretarial experience.

Job Duties

These are the job duties required of the position.

Description of Job Duty

The coordinator of resident and fellowship leaves from receipt of requests to reconciliation of the leave balances and monthly entry in the TBR system for payroll.

Accounting/accounts payable for all MEAC Check requests, Resident/Fellowship Bookfund to include entry of all expenditures in at IM GME budget reconciliation spreadsheet.

New Innovations data entry and initial oversight of New Innovations Dashboard used to track programs/residents/fellows progress. This includes tracking of procedures, certifications, resident/fellowship duty hour entry.

Responsible for ordering of food for all residency/fellowship activities including but not limited to recruitment and conferences.

Under the direction of the GME Coordinator, position will be responsible for recruitment activities related to lodging (reservations confirmation and reconciliation of bills, information packets for candidates, interviewers and chief residents, transportation and/or parking arrangements for candidates) (seasonal activity during Oct-January almost 75% of time required).

Clerical responsibilities for all resident/fellowship academic activities (copying and grading tests, recording of scores in a database).

Residents/Fellows travel (approval and reconciliation for reimbursement)
