Job Summary

Work involves a variety of tasks in a busy setting including interpersonal communication with faculty, staff and students; receives, directs, and assists visitors and incoming telephone calls; provides procedural information; screens visitors and telephone calls; organizes and prioritizes multiple tasks for own work and work of others; maintains advisors’ calendars and schedules; makes appointments and travel arrangements for department; plans and arranges conferences and special events by ensuring that any necessary rental/reservation and catering arrangements are made; uses word processing and graphics software to format and generate a variety of complex materials including correspondence, memos, reports and presentations; estimates office needs and operating requirements for budgetary and purchasing purposes; monitors expenses; insures the completion of all required forms; researches University policies, procedures and guidelines and ensures that department is in compliance with appropriate procedures; oversees student workers with schedules and work assignments; and performs other clerical/support duties as assigned.

Required Qualifications

High school diploma required plus at least three years secretarial experience, applicants with a college degree must have at least one year of secretarial experience; knowledge of office skills and procedures; knowledge of computers and software; ability to communicate effectively; and the ability to work in a multi-functional, fast-paced office environment required.

These are the job duties required of the position.

Description of Job Duty

Assist Associate Dean, Chair and Director of MALS program.

Coordinator and advisor with four undergraduate and two graduate programs.

Refers visitors and students to appropriate personnel.

Collect and relay information.

Collect data and maintain database.

Schedule appointments for travel and conferences,prepare University forms and documents.

Collecting and analyzing information and assist in preparing comprehensive reports.
