Job Duties

These are the job duties required of the position.

Description of Job Duty

Coordinating the flow of work and people through the Department Chair’s office.

Draft correspondence, reports, and memos.Maintaining the Chair’s calendar.

Facilitating travel requests and travel claims follow up.

Purchasing supplies.

Coordinating textbook orders, desk copies and ancillaries for faculty.

Coordinating student assessment.

Entering payroll.

Assisting with faculty recruitment.

Description of Job Duty

Types department correspondence, purchase orders, requisitions, and other documents using Microsoft Word and Excel and occasionally a manual typewriter.

Answers telephones and takes messages, transfers calls appropriately.

Greets visitors to the department and provides proper information or direction.

Advertises for and interviews student workers.

Trains and supervises student workers.

Maintains attendance and time records for student workers.

Enters time records for payroll for student workers and faculty.

Composes, prepares, and distributes department correspondence.

Creates spreadsheets and class schedules.

Creates spreadsheets for textbook usage.

Prints out data from university programs (e-print budget, class roll, SIS) for faculty.

Gather information for and supervises the order of department supplies and equipment.

Coordinates textbook orders and troubleshoots any questions regarding this.

Keeps faculty informed on departmental and college meetings and university events via e-mail.

Types and copies syllabi, tests, assignments, handouts, transparencies, and other teaching materials as needed.

Assists faculty with travel arrangements and preparing appropriate university forms.

Administers make-up exams when instructors are unable to do so.

Types correspondence for faculty as needed.

Coordinates record keeping of information and forms faculty are asked to submit.

Maintains department inventory.

Maintains confidentiality when required for all personal matters.

Prepares contracts for faculty per semester.

Coordinates faculty recruitment process, including posting of position and follow-up itinerary.

Makes corrections and changes in class schedules via university procedures.

Maintains personal faculty files.
