Required Qualifications

High School diploma or GED plus three (3) years secretarial office experience, or an equivalent combination of education and experience.

Job Duties

These are the job duties required of the position.

Description of Job Duty
  • Maintains chair’s calendar and schedule.
  • Provide accurate information in a courteous manner to students and visitors.
  • Answer all phone calls and initiate action or referrals to appropriate party.
  • Process permits and/ or drops for students.
  • Provide copy services, word processing, database management, desktop publishing of instructional and research materials, brochures, manuals, etc. for chair, all faculty, and math lab.
  • Maintain office financial accounts and reconcile budget reports.
  • Prepare payroll reporting.
  • Initiate all requisitions, purchase orders and work orders.
  • Initiate and process all travel requests and expenses.
  • Prepare hiring forms and contracts for faculty, part-time faculty, graduate assistants, math lab tutors, temporary workers, and student workers.
  • Maintain inventory of current textbooks, and supplemental materials. Store, assign, retrieve and sell to book vendors.
  • Maintain and process teaching schedules.

These are the job duties required of the position.

Description of Job Duty
  • Maintain key inventory for faculty offices, department offices, and mathlabs.
  • Maintain all departmental files- personnel, administrative, academic, and student.
  • Maintain supply inventory.
  • Oversee mail distribution.
  • Assist faculty and graduate assistants with general office administration: scheduling of classrooms, work orders for facilities and equipment, office equipment and phones.
  • Maintain petty cash acquired through sale of textbooks, long distance telephone calls, and make deposits as required.
