Job Summary

Responsible to Director of Financial Aid for a variety of complex secretarial, administrative and clerical tasks including coordinating the flow of work and people through the Director’s office, preparing reports and correspondence, maintaining Director’s calendar, making travel arrangements, monitoring the travel budget, purchasing supplies for office, compiling information for reports.

Knowledge, Skills and Abilities
  • Excellent communication skills.
  • Ability to achieve positive outcomes in interactions with others.
  • Knowledge of office technology equipment to include Microsoft Word, Excel, graphics, email.
  • Ability to maintain awareness of current office operations and plan accordingly.
  • Must be able to handle sensitive information and maintain confidentiality at all times.
Required Qualifications

High School diploma or GED plus three (3) years secretarial office experience, or an equivalent combination of education and experience.

  • Maintains contact for the supervisor with external and internal constituents.
  • Assists in solving problems for students, faculty, staff and the public.
  • Follows up with others on projects assigned by the supervisor.
  • Researches policies, procedures and guidelines for supervisor and staff.
  • Maintains and monitors budget expenditures and makes reports as required.
  • Makes arrangements and preparation for travel, conferences, appointments, special events, or other activities.
  • Prepares meeting agenda, attends meetings, keeps records, and prepares drafts of minutes for review.
  • Composes routine and non-routine correspondence independently.
  • Summarizes programs, reports, or other information for supervisor and staff.
  • Takes and transcribes dictation from notes or machine.
  • Develops and maintains personnel financial, statistical and other important records.
