Job Summary

Performs a variety of complex secretarial, administrative, and clerical tasks, which may include, but are not limited to: Coordinating the flow of work and people through the executive’s office; Drafting correspondences, reports, and memos; Maintaining the executive’s calendar; Composing documents; Purchasing supplies; Compiling information for report preparation; Maintain and reconcile departmental budgets; Timekeeping; and Other administrative functions as needed.

Knowledge, Skills and Abilities
  • Proficiency in word processing, grammar, communications in general (Word, Access, Excel, PowerPoint preferred)
  • Strong interpersonal and communication skills
  • Ability to work with frequent interruptions
Required Qualifications

High School diploma or GED plus three (3) years secretarial office experience, or an equivalent combination of education and experience.

Job Duties

Description of Job Duty
  • Attending faculty meetings/ committee meetings and taking minutes.
  • Coordination of work and people through the department chair’s office.
  • Drafting or editing correspondence, reports and memos.
  • Gathering information for reports.
  • Purchasing supplies.
  • Working with SIS/ Banner System to enter data
  • Database management to enter class schedules and information for faculty workload reports.
  • Payroll entry for faculty/ staff and students each month.
  • Coordinating meeting times for various groups and committees.
  • Training student office workers.

  • Answering departmental phones.
  • Maintaining and recording departmental budget information.
  • Filing of departmental documents.
  • Permitting students into classes.

  • Supervision of student workers.
  • Scheduling of student workers.
  • Assisting KLSS students with registration/ direction of advisors, etc.
