Job Summary
Knowledge, Skills and Abilities

Ability to be proficient with the use of computers, Office and inventory programs, eBucs, etc.

Required Qualifications

Associates degree in a computer related field or comparable experience required; 1 year of experience in warehouse environment and inventory control required; forklift license required; good interpersonal skills required.

Job Duties

These are the job duties required of the position.

Description of Job Duty

-Inspect, verify quantities and sign for goods delivered by various vendors.

-Identify damaged goods and/or shortages and notify vendors and departments.

-Look up purchase orders in E-bucs.

-Contact vendors on packages that are shipped with no information on them as to where the package goes or who ordered it.

-Code all pallets, boxes and packages with the date, building number and department name.

-Identify time sensitive packages and make arrangements to get them delivered in a timely manner.

-Identify radioactive packages and notify Radioactive Safety Office for pick up.

-Maintain a detailed running Excel spreadsheet on all goods received.

-Create delivery sheets each day on the iPad so drivers can obtain customers signatures.

-Scan all freight tickets and keep an electronic file on goods received at the end of each day.

-Assist departments and students with questions concerning the receiving and/or status of packages they have ordered.

-Notify various shops within Facilities Management when their packages have arrived and are ready for pick up.

-Respond to calls from various departments requesting pick up of packages ready to be shipped.

-Contact drivers to notify them of the pick-ups.

-Provide shipping costs, delivery times, ect. to faculty, staff, and students upon request.

-Notify departments and students when we receive a “Call Tag” for merchandise being returned to vendor.

-Collect money and process credit card payments from individuals who ship out personal packages.

-Process packages to be shipped out via UPS, FedEx, DHL, Unishippers, etc.

-Fill out Customs paper on international shipments.

-Order and maintain shipping supplies such as boxes, packs, labels, etc.

-Set up department on FedEx Ship Manager for those that choose to process their own shipments.

-File and maintain records on FedEx Ship Manager users.

-Scan and maintain an electronic file on all shipping records at the end of each day.

-Distributes shipping charges from UPS, FedEx, DHL, Unishippers, etc., to the various departments when invoice is received each week.

-Contacts carriers when there are discrepancies on the invoices and dispute charges when necessary.

-Contacts department when additional information is needed for the distribution of charges.

-Maintains an electronic file on all invoices processed.

-Routes invoices for approval and payment.
Follows TBR procedures for disposal of surplus property.

-Make decisions and recommendations on what surplus items should be sold, recycled, disposed of or kept for redistribution to other ETSU departments.

-Identify any potentially hazardous surplus equipment and have our Health & Safety Officer inspect it before it is sold or disposed of.

-Have RSO inspect all lab equipment, refrigerators and freezers for radiation and sign off on Safety Clearance sheet prior to disposal or redistribution.

-Maintain Safety Clearance sheet notebook.

-Write description, take pictures and/or video and assign inventory numbers to the surplus being sold.

-Post surplus items to GovDeals in compliance with the website posting requirements.

-Record any pertinent ETSU numbers and give to supervisor so items can be removed from inventory.

-Answer questions from potential bidders about items being sold.

-Schedule viewing and inspection of surplus with potential bidders, schools, and departments.

-Monitor default bidders and ban them from future ETSU/GovDeals auctions.

-Maintain paid and picked up reports on GovDeals.

-Accept and process payments from winning bidders.

-Balance credit card machine.

-Maintain a file of GovDeals receipts.

-Prepare deposits and take to Financial Services for deposit.

-Assists with the loading of sold surplus items.

-Notify departments when specific surplus items become available.

-Maintain Facebook page for school called PASS (Providing Area Schools with Surplus).

-Fill out donation letters and have the teachers sign them for the surplus items they take for use in their schools.

-Assist faculty and staff in picking out surplus for their departments.

-Place work orders to have reallocated surplus delivered to various departments both on and off campus.

-Submit work orders to have surplus picked up from various departments.

-Responsible for the sale of numerous pallets of old stock items from the former Physical Plant Warehouse.

-Clean, organize, inventory and restock inventory items.

-Use TMA Work Order/Inventory Program on a daily basis.

-Maintain electrical section.

-Assist the various shops in locating stock items.

-Work with electrical and custodial personnel in ordering items not in stock that they need to complete their work orders.

-Get price quotes from vendors.

-Submit requisitions through e-Bucs.

-Receives orders in e-Bucs when products arrive.

-Adjust inventory totals and costs in the TMA program as items are received.

-Adjust inventory totals as items are taken out of stock and verify counts.

-Talk with salesman who come in from various companies about their products and services.

-Responsible for the boxing and palletizing of various used stock.

-Operate standard office equipment.

-Answer questions from students, faculty, staff, delivery drivers, etc. regarding shipping, receiving, inventory items, surplus items, online auction, driving directions, etc.

-Receive and process copy paper orders.

-Create various forms used within the office.

-Operate forklift unloading trucks at warehouse and various locations on campus.

-Operate pallet jack, two and four wheel dollies, various hand tools, van and delivery trucks.

-Submit work orders for needed repairs or services for Central Receiving to Facilities Management.

-Maintain the Central Receiving website and Facebook/PASS pages.
