Job Summary

Serves as secretarty to department chair and faculty. Receives visitors; provides routine information and directs visitors to appropriate person. Answers incoming phone calls; provides routine information, screens requests, takes messages or refers calls to appropriate person. Uses word procesing software to produce routine correspondence, reports, work orders and other documents such as budget and enrollment data. Files correspondence, reports, purchase orders, student information and other documents according to established procedures. Maintains and orders office supplies and other materials as needed. Checks reports and other documents for accuracy. Maintains attendance and time records for department employees and student workers. Orders textbooks for all English faculty and all courses in the discipline of English. Submits requisitions/work orders for building maintenance. Supervises and assigns tasks to approximately 10-12 student workers. Serves as first back-up for Executive Aide. Performs other related duties as assigned. Successful candidate should be adept at multitasking as well as maintaining a professional atmosphere in the office.

Knowledge, Skills and Abilities

Excellent computer skills.

Required Qualifications

High school diploma or GED plus one (1) year of clerical or secretarial experience, or an equivalent combination of education and experience.

These are the job duties required of the position.

Description of Job Duty

-Serves as secretary to assigned individual and department.

-Receives visitorsAnswers incoming phone calls; screens requests, takes messages or refers calls to appropriate person.

-Receives visitors; provides routine information and directs visitors to appropriate person

-Uses Word Processing software to produce routine correspondence, reports, work orders and other documents such as budget and enrolment data.

-Files correspondence, reports, purchase orders, student information and other documents according to established procedures.

-Maintains and orders office supplies and othe materials as needed.

-Sorts and distributes incoming mail and preparees outgoing mail.

-Checks reports and other documents for accuracy.

-Copies and collates materials for use in reports and presenations and/or distributes to specified parties.

-Maintains attendance and time records for department employees and student workers.

-Keeps simple appointment calendar for supervisor.

-Composes information to students and faculty for supervisor’s review.

-Serves as first back-up for Executive Aide.

-Orders textbooks for all English faculty and all courses in the discipline of English – some 50 different undergraduate and graduate courses per semester in multiple sections.

-Works as liasion with Book Store on all textbook problems.

-Takes care of requisitions/work orders for all building maintenance.

-Supervises and assigns tasks to approximately 10-12 student workers.

-Works with students who ask for permits into classes – verifies student’s prerequisites, test scores, etc.

-Screens and directs students complaints to proper authority.

-Maintains Accurate personal contact information for all faculty, approximately 100 people.
