Job Duties

These are the job duties required of the position.

Description of Job Duty

Supervision of office staff.

Supervises and coordinates daily work assignments of all support staff, temporary employees, and student workers.

Responsible for the overall management of the records office. Assists with implementation of Banner tables and training of office staff on new Banner system.

Responsible for the efficient flow of records processing, the proper dissemination of student record information, and the satisfactory delivery of all student services in the records section of the Registrar’s Office.

Supervising drop/add services.

Supervising transcript services.

Supervising reception and telephone services.

Training new employees and student workers.

Maintaining inventory of office supplies.

Maintaining current student identification numbers and names.

Monitoring accurate student career and classification.

Monitoring and certifying eligibility of ETSU employees for staff scholarship programs.

Assisting faculty and/or executive aides with accessing and printing class rolls through e-print.

Distributing grade rolls and other reports to academic units.

Registering and maintaining records and producing reports of students participating at Milligan College/ Emmanuel School of Religion/ ETSU cooperative program. Assisting with preparation of contracts and setting up meetings.

Preparing for distribution and collection of student grade reports (early semester and final).

Disseminating student record information in compliance with Family Educational Rights and Privacy Act of 1974. Prepares and electronically submits the National Clearinghouse Report and the Degree Verify Report. These reports are submitted several times during the semester and after degrees are posted. This includes communicating with National Student Clearinghouse on verification of enrollments, degrees, and corrections of such information. Also, answering inquiries concerning academic standing and/or enrollment for the student of others with a need-to-know.

Maintaining non-disclosure of Directory Information list.

Answering and providing assistance for students and others who email “the Registrar’s Office.”

Preparing Monthly Computer Operations Calendar.

Procuring and distributing graduation regalia.

Satisfying data requests from inside and outside the university.

Assisting with maintenance of the Tennessee Educational Lottery student status SIS screen when necessary.

Maintaining Executive Summary for the ETSU webpage.

Assisting with budget for the records section of the Registrar’s Office.

Other duties as assigned.
