Job Summary

Assist with word processing of letters and labels detailing missing credentials to students, as well as acceptance letters. Answer telephones to assist with questions regarding application status and duplicate letters, assist in preparation of application folders. Relay status of student applications to appropriate staff. Backup for Records Lead Worker in processing applications and application fees. Related duties including filing, compiling application credentials and other duties as assigned.

Knowledge, Skills and Abilities
  • Knowledge of word processing (Microsoft Office preferred).
  • Ability to interact with students effectively and maintain confidentiality.
  • Attention to detail is a MUST.
Required Qualifications

High school diploma or GED plus one (1) year of clerical or secretarial experience, or an equivalent combination of education and experience.

Job Duties

These are the job duties required of the position.

Description of Job Duty
  • Opens mail, receipts applications, stamps and accounts for proper remittance.
  • Supervises cash register.
  • Processes application fees: cash, check and charges.
  • Balances receipt tapes and prepares report that is remitted to business office each day.
  • Checks applications on SIS for any previous application if former student had previously applied and if the fee has already been paid, a refund is issued.
  • Mails fee request cards when application is received with no fee noted on application.
  • Prepares folder with labels, color code and status of student and distributes to appropriate office personnel.
  • Supervises student workers.
  • Generates labels and mails cards confirming applications.
  • Maintains files of students who were denied or did not enter.
  • Maintains transcript files for students not applied.
  • Files, searches for materials as needed, purges and shreds outdated material.
  • Receives and categorizes applications; reviews status of application data in scholarship spreadsheets; maintains data in databases; produces correspondence to APS applications (acknowledgement, missing document, award, deny, etc. Letters); answers phone calls from applicants; and maintains scholarship files.

  • Prepares and generates appropriate acceptances letter for freshmen, transfer and readmission students.
  • Prepares letters for denied freshmen, transfer and readmission applicants.
  • Prepares acknowledgement letters and informs student of any missing requirements.
  • Loads freshman, transfer and readmission applications into Student Information System (SIS).
  • Provides coverage in the receptionist area during peak times: answers phones, greets students and visitors and performs other duties required in this position.
  • Performs other related duties as assigned.
