Job Summary
Knowledge, Skills and Abilities

Knowledge of computer skills including Wordperfect/Quatro Pro and Microsoft Office. Knowledge of database preparation and management. Ability to communicate effectively.

Required Qualifications

High school diploma or GED required; three (3) years secretarial or clerical experience, or an equivalent combination of education and experience.

Job Duties

These are the job duties required of the position.

Description of Job Duty

Assists with needs in relation to supervisor and faculty.

Greets and assists walk-ins, answers and takes telephone messages.

Maintains and monitors budget expenditures and makes reports as required.

Prepares contracts for adjunct faculty, dual-service contracts, personal service contracts, graduate assistants summer school contracts.

Prepares and organizes agenda for meetings.

Prepares correspondence for advisory boards.

Prepares and processes all requisitions, purchase orders, check requests, invoices, travel requisitions and travel claims.

Processes departmental payroll.

Oversees daily activities and assignments for student workers.

Reads incoming mail and routes to appropriate locations.

Follows up on projects assigned by supervisor and staff.

Maintains office records.

Assists with solving problems for students, faculty, staff and the public.

Determines type of information/data, records or method to be used; collects and compiles data and oversee such activities.

Develops and maintains office filing systems.

Summarizes programs, reports, and needed information for supervisor and staff.

Makes travel preparation and arrangements for conferences or other activities.

Prepares needed materials, attends meetings, keeps records and prepares drafts of minutes.
