Job Summary

We are looking for an executive aide to support our undergraduate and experimental PhD Psychology concentrations. The successful candidate will report directly to the Psychology Department Chair but also must be able to assist other faculty and function independently using appropriate judgment, decision-making, and discretion. The executive aide will perform a variety of administrative and secretarial tasks including, but not limited to, supervising student workers, and assisting undergraduates and graduate students with general questions. The executive aide will be responsible for interacting with a variety of internal and external constituents as directed by the department Chair and must be able to draft non-routine correspondence and memos, make appointments and travel arrangements, coordinate events, research relevant program and university policies and procedural guidelines, and assist in preparing comprehensive reports. The executive aide will also maintain personnel, financial, statistical and other important records.

Knowledge, Skills and Abilities

Desirable knowledge and skill sets include, but are not limited to, interpersonal communications, administrative practices and principles, and organizing and prioritizing multiple tasks required for own work and work of others.

Required Qualifications

High school diploma or GED, three (3) or more years of secretarial or administrative office experience (or an equivalent combination of education and experience), and good computer skills (e.g., typing and familiarity with office software).

Description of Job Duty

Serves as secretary to an executive (1st or 2nd level of management in an organization)

Serves as liaison for executive for internal and external contacts.

Follows up with others on projects assigned by executive.

Receives, directs and assists visitors and incoming telephone calls; provides procedural information; assists in solving problems for students, faculty, staff and the public.

Screens visitors and telephone calls

Makes travel arrangements.

Supervises daily financial matters in the executive’s area, including estimating office needs and operating requirements for budgetary and purchasing purposes; monitors expenses; insures the completion of all required forms; apprises executive of budget matters.
