Job Summary

This position supports the Department of Biostatistics and Epidemiology, College of Public Health and reports directly to the department chair of Biostatistics & Epidemiology. Performs a variety of complex secretarial, administrative and clerical tasks requiring on-going analysis. Work is performed under relatively limited supervision and therefore, independent judgement, expedient execution of work and discretion are required. Essential functions include overseeing and administration of department processes such as schedules, files, budgets, contracts, purchasing, department timekeeping, and course scheduling and building. Will work closely with the department chair on a range of tasks including tracking enrollments, overseeing calendars and deadlines, facilitating communication across departments/units, creating documents and spreadsheets and related tasks as needed.

Additional tasks: Maintain and update department files and systems; oversee Graduate Assistantship and Tuition Scholarship disbursement; complete checkouts for temporary employees; screen visitors, telephone calls and additional related activities as needed.

Additionally, the Executive Aide will work with staff and faculty to facilitate and manage the hiring of student workers, student worker schedules, and scheduling of classrooms.

This position includes a range of tasks involving the use of programs such as Banner (HR, INB, Finance, Payroll), eBucs and eJobs.

Knowledge, Skills and Abilities

Proficient with computers and software, especially Microsoft Office Suite, Windows operating system and ability to learn and incorporate new platforms. Knowledge of Banner student information system, Graduate Studies Data Store, and records management, or ability to learn these platforms. Ability to quickly shift focus of attention from computer environment to interpersonal environment. Ability to manage a volume of complex and varied and changing information. Ability to function independently, use appropriate judgement, decision-making and discretion. Excellent interpersonal communication skills and ability to problem solve with others.

Required Qualifications

High school diploma or GED plus 3 years clerical or related experience, or an equivalent combination of education and experience. Good communication skills; good writing skills and strong background with Microsoft Office software.

Preferred Qualifications

Baccalaureate degree; 2 or more years of clerical or related experience in higher education; office management or related experience; experience with Banner (HR, INB, Finance, Payroll), eBucs, University procedures, eJobs and other online systems at ETSU.
