Job Summary

Maintains chairman’s complex Outlook calendar and schedule; makes appointments and travel arrangements; plans and arranges conferences, tele-conferences, and other special events. Drafts correspondence, memos, and email messages.
Monitors Chair’s email, trainee supervision burden, support Chair’s manuscript, abstract and grant submissions and other assignments, as needed. Coordinates weekly, biweekly and monthly departmental meetings including all administrator meeting, all-residents meeting: preparing agendas, taking/preparing/distributing minutes, ordering food, and inviting special guests. Acts as departmental timekeeper; enters timesheets in TRS. Coordinates promotion/tenure process, tracking of scholarly and faculty development activities, and FAP/FAR/FAEs. Provides administrative support for faculty recruitment efforts; develops itineraries, travel arrangements and assists with on-site visits for all faculty candidates and for pharmaceutical company monitoring visits. Assists with new faculty and staff onboarding process. Maintains copies of current curriculum vitas, training certificates, DEA and Medical Doctor Licenses; obtains and tracks documentation for hospital credentialing. Maintains office functions in the absence of other co-workers; backs up Account Clerk and Business Manager. Serves as contact and processor for Volunteer Clinical Faculty appointments. Assists with website updates. Manages departmental directory and committee listing. Works closely with the Business Manager and assists with special projects. Maintains confidentiality; must have flexible mindset and be adaptable to new challenges and opportunities.

Knowledge, Skills and Abilities

Knowledge of ETSU policy and procedures. Ability to communicate effectively. Knowledge of modern office procedures. Ability to work under pressure. Ability to prioritize and remain organized. Proficient in all standard office programs (Microsoft products preferred, especially Microsoft Outlook email and calendar, Excel, Power Point) Ability to multitask, pay attention to detail and maintain accuracy. Ability to be flexible and demonstrate strong interpersonal skills with faculty, residents, staff, other ETSU departments, and community leaders/professionals. Must show high level of professionalism and respect for privacy and confidentiality.

Required Qualifications

High School diploma or GED plus 4 years’ clerical or related experience, or an equivalent combination of education and experience.

Preferred Qualifications

Bachelors degree, CPS or CAP preferred.
